Member Volunteer Program

The KW Water Polo Club is a not-for-profit organization, and relies heavily on volunteers to operate many facets of the club. We need volunteers to tend to club operations (the Board), to coordinate events and fundraising (committee members), and to plan our Winter Classic (Tournament Director). By volunteering, we are able to reduce costs which directly affect your player’s fees.  

A primary goal of the club is to offer the best experience possible for your player. To achieve this goal, we need every family in our organization to contribute. To help distribute the responsibilities fairly throughout the membership, we have instituted the Member Volunteer Program (MVP). This is a comprehensive program, point-based system and has provisions to charge a fee at the end of the season for those families who choose not to volunteer or do not meet the minimum point requirement. 


Points Program Overview 

  •   Each family of a player registered is expected to participate in volunteer activities. A point system is used to track family participation. Different jobs have different point values assigned to them.
  •  Each family is expected to meet their Minimum Points Requirement (see below for points requirements). A family is defined as anyone assigned to work on behalf of a registered player. This includes siblings, grandparents and other relatives who are able to perform volunteer duties.
  •  If you have not met the Minimum Points Requirement by season end (Aug 31st), you will be charged $50 per point missing, and $250 should bingo not be completed.
 

 Volunteer Point Requirements

  • Each family must earn 10 volunteer points between September 1 and August 31 (current season).
  • These 10 points much be comprised of:  
    • 1 Bingo session (5 points)
    • 5 additional volunteer points (options outlined below) 
  • Note that some volunteer activities have age limitations:
    • The volunteer must be at least 21 years or older to attend Bingo.
    •  Younger ages are encouraged at specified events.
 

Earning Points 

  •  Bingo remains the primary source for volunteer need and all families will be required to complete one Bingo session. The funds raised from these events directly offsets our pool costs, and player’s fees.

  • Opportunities for earning additional points  are outlined below and will be available throughout the water polo season. We strongly encourage everyone to register for positions early.
    •  Volunteer for additional Bingo sessions 
      •  5 Points will be awarded for each additional completed Bingo following the compulsory sessions per player.
    • Join the Board of Directors
      • Points for these positions will be awarded a total of their minimum requirement, including Bingo, provided the member holds the position for the entire season, and has completed all of their duties assigned.
    •  Become a Team Manager
      •  These positions will be awarded all points requirements for the season, including Bingo, provided they complete all their duties for the entire season
    •  Volunteer at the KW Winter Classic (tournament)
      • volunteer opportunities will be shared with the membership closer to the tournament
      • 1 Point will be awarded for each 1 hr block of registered duties completed.
    • Volunteer at Special Events
      • Special events are typically community events where the club attends to increase awareness and recruit new members. 
      • 1 Point will be awarded for each 1hr block of registered duties completed.
    • Become a Bingo Manager
      •  5 Points will be awarded for each completed Bingo Session.
      • Bingo Managers also receive a $100 credit towards players season fees per session
 
Tracking Volunteer Points
  • Attendance and participation at events will be tracked
  • Awarding of participation will be at the discretion of the Board.
  • Any discrepancies must be reported within 30 days following the event.
  • Should there be any discrepancy between the posted participation, and what the family believes they volunteered, please contact the Bingo Coordinator
  • In the exceptional event resolution cannot be achieved, it will be escalated to the Board of Directors for review
